Patient Portal FAQ

WHAT IS TCFAP FAMILY PORTAL?

Our patient portal is a safe, secure, The Center for Advanced Pediatrics hosted web site that allows parents to access certain parts of their children’s medical records. TCFAP FAMILY PORTAL is accessible through computers, tablets, and smart phones, anything with web access and is an important part of our Patient Service Plan.

WHAT ARE THE BENEFITS TO PARENTS?

You can enjoy quick, easy access to important parts of your children’s medical records. You can see, print, and download this information at your convenience, without having to call the office. You can keep track of important dates, milestones, prescriptions, immunizations, and lab results, from anywhere you have Internet access.

At The Center for Advanced Pediatrics, we’re committed to bringing cutting-edge access, communication, and technology to our patient and family experience. Putting your children’s medical records at your fingertips is an exciting way for us to fulfill that commitment and provide you with an unparalleled patient experience.

IS THERE A COST TO ACCESS THE PATIENT PORTAL?

No, all patients and their family have access to the basic functions, however to get forms requires your family be up to date with the TCFAP yearly administrative fee of $40/patient 18 and younger and $20/patient 19 + years old.

WHAT PARTS OF MY CHILDREN’S MEDICAL RECORDS CAN I SEE AND PRINT AT HOME?

You can access information on Allergies, Vitals, and Immunizations. We will continue to add more access and interactive features in the future as they become available.

WHAT DO I DO IF THE MEDICAL INFORMATION RECORDED ON THE PORTAL IS INCORRECT?

Any time you come across information in your child’s medical record that you feel is misrepresented (ei. a weight, allergy, incorrectly filled in health form) please email the medical records department or the doctor that normally sees your child for them to either correct or explain any reasons the information is given in that way.

CAN I GET A COPY OF MY CHILD’S COMPLETE MEDICAL RECORD ON THE PORTAL?

If you are moving and need a copy of your child’s medical record, we will email the information to the email associated with the portal. This is a convenient way to have an electronic version of the ENTIRE chart. Just make sure you have signed a HIPAA medical release form (FOUND HERE) and message the medical records department through the portal. There is NO COST associated with getting your health records this way however you must be up to date with your administrative fee if applicable.

IS TCFAP FAMILY PORTAL REALLY SAFE AND SECURE?

Absolutely. We’ve invested in a secure server and a secure web domain (denoted by the s in the https:// portion of our Patient Portal’s URL) to ensure the safety and confidentiality of your children’s medical records. Our two-step registration process, in which every TCFAP Family Portal account is individually verified before activation, and in which every account receives its own secure password, also ensures that all access to medical records is both accurate and appropriate.

CAN MORE THAN ONE PARENT CREATE A PATIENT PORTAL ACCOUNT (i.e., for divorced, separated and/or non-related parents?)

Yes. That’s one of the reasons we tie portal access to specific email addresses — so that individual parents or caregivers can each have access to the same children’s records.

CAN I PRINT MY CHILD’S VACCINE RECORDS AND SUBMIT THEM TO SCHOOLS, CAMPS, DAY CARES?

Absolutely. You can print the immunization records yourself, any time you want, and submit them directly. We recommend doing a full-screen print, so the people to whom you’re submitting can see that the immunization history comes from our secure patient portal. (For many reasons, we imagine this will be one of the Family Portal’s most popular features!) Printing the records for yourself is easy, convenient, and part of the yearly administration fee.

CAN I USE THE PORTAL TO REQUEST PRESCRIPTION REFILLS?

Yes! Just send a message through the portal messaging system and we will refill any medication that is appropriate.

HOW DO I CHANGE MY PASSWORD?

Once you’ve signed in to The Portal, click on the My Account tab. When your account information appears, you’ll see a box for New Password and one for Repeat New Password. Type the password you want in both boxes, then click the Submit button at the bottom, and your password will be changed.

IS ACCESS TO THE PORTAL MEANT TO REPLACE AN OFFICE VISIT?

Not at all. This is just another means of communication between you and our office. Though it will save you a trip to the office if all you need is a copy of your child’s immunization records.

Giving you access to your children’s medical information in your home, on your own time, helps you stay informed, and also helps us work together to provide the best possible care for your children.

Eventually we hope to offer “email” visits through our secure server on the Portal. We are still working out the logistics of this.

CAN I ACCESS MY CHILD’S RECORDS/PORTAL PAGE IF THEY ARE OVER 17 YEARS OLD?

No. At midnight on your child’s 18th birthday, access is automatically transfered to the patient only. In order for the parent/guardian to have access, the 18 and over patient must grant it by filling out the request/permission form found here.
